Use this toolkit to assign the account function numbers to all accounts in the project ledger and the prior years project ledger. This toolkit assigns the function codes per your current Account Group setup (Manage Project Account Groups screen) to the appropriate account number in the project ledger (PROJ_SUM) and prior years project ledger (PSR_PY_SUM). These account codes are 1 for revenue, 2 for labor, 3 for non-labor, 4 for burden, 5 for cost of money, and so forth. Costpoint writes these account codes to the PROJ_SUM table when you compute burden and revenue. If you modified your account groups, PROJ_SUM may not contain the correct function codes. As part of their purpose, these codes group the costs correctly on the Project Status Reports; therefore, you may need to execute this toolkit if you have made modifications to your Account Groups.
There are several other scenarios when this toolkit may be necessary. If you uploaded data into the PSR_PY_SUM table, you may not have any function numbers and the prior years data does not show up on the Project Status Reports without them. Also, we recommend that you run this toolkit before you execute the Update Prior Year History screen, which is part of your fiscal year closing process. The Update Prior Year History screen transfers data from PROJ_SUM to PSR_PY_SUM. If the function codes are not in agreement, you may receive a SQL error during Update Prior Year History.
Use this drop-down list to select whether you want to run this process for all account groups or one account group.
All Account Groups — Select this option to run the process for all the account groups in Costpoint. Select this option as part of your closing process before you run the Update Prior Year History screen, or if you uploaded data into the PSR_PY_SUM table.
One Account Group — Select this option to run the process for a single account group. You may want to select this option if you modified a specific account group.
If you selected the One Account Group option, enter, or click to select, a valid account group that you want to assign.
Click to run the toolkit. Depending on the size of your database, this process could take considerable time.
