APPLY INDIRECT COSTS TO BUDGETS

Use this screen to create or update budgeted indirect costs with computed pool rates. This screen updates projects with computed actual or target rates, and applies the rates to budgeted direct costs to arrive at budgeted indirect amounts. You can specify the projects and subperiods to be updated.

The budget revision updated is always the revision identified as "current" on the Manage Budget Revisions screen. If you want to apply indirect costs to budgets using a different budget revision, you must make the desired budget revision the "current" one on the Budget Revisions screen. If you modify the "current" budget revision after running this screen, your budgeted direct cost and indirect cost data do not tie out properly.

This screen updates using either current or year-to-date rates depending on the rate method being used by your company. The rate method is usually determined during Costpoint initialization on the Configure Project Settings screen. The rates used by this screen (Apply Indirect Costs to Budgets) are stored in the Pool Rate table. They are applied to direct costs based upon the mapping of accounts/organizations to cost pools. Rates stored in the primary allocation group (those applied to projects) are used by this screen.

Run this screen any time after setting up project direct budgets. Because rates are stored in the Pool Rate table by fiscal year, period, and pool, you must first compute indirect rates for all periods if you are using actual rates or enter the indirect rates if you are using target rates.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options are also included in the saved parameter ID if there are any. You can change any of the associated selection defaults as necessary.

Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made in the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display in the screen, you can override the defaults.

Start

Enter, or click to select, the starting value for the range you want to include. If you select All or From Beginning in the Option field, this field is inactive.

End

Enter, or click to select, the ending value for the range you want to include. If you select All, One, or To End in the Option field, this field is inactive.

Enter, or click to select, the fiscal year and period for which you want to update project indirect budget information.

Subperiod

Select the range of subperiods you want to update.

Starting and Ending Subperiod

Depending on your Option selection, one or both of these fields may be inactive. Enter the starting and/or ending subperiod(s) for which you want to update project information. The period starting and ending dates display in the fields to the right.

Rate Type

Use this group box to select either actual or target rates to update your budgets. These rates are taken from the Pool Rates subtask of the Manage Cost Pools screen. 

Target

Select this option to update project budgets with target rates. Make sure that the target rates for the period you are updating have been entered on the Pool Rates subtask of the Manage Cost Pools screen.

Actual

Select this option to update project budgets with actual rates. Make sure that the actual rates for the period you are updating have been calculated and are on the Pool Rates subtask of the Manage Cost Pools screen.

Process

After you have made your selections, click to start updating budgeted indirect costs with costs based on computed pool rates.
