Use this optional screen to compute and print commitments for purchase requisitions and purchase orders. The process is designed to produce reports that accurately predict general ledger charges or future financial obligations. You can print reports to show committed amounts by project, organization, and account. This screen updates tables in Costpoint that can be used by the Project Status Report (PSR) to show committed amounts.
Entry of a purchase requisition/purchase order initiates a purchase commitment. As the items ordered on the purchase order are received, accepted, and eventually vouchered, the commitment is labeled accordingly. When the expense for the items is booked to the general ledger through the Voucher Distribution Posting, the items are removed from the commitments calculations. You can optionally exclude any purchase order line from the commitment process by selecting Excluded from the Commit Type drop-down list in the table window of the Manage Purchase Orders screen.
Execute this process whenever you want to create or print purchase requisition and/or purchase order commitments or to show commitment amounts on a PSR.
Use this group box to determine the method by which commitments are computed and printed. The selection you make in this screen must be the same as the selection made on the Configure Project Settings screen. If the two options are not the same, you may not get an accurate result.
Select this option to compute and print commitments for all purchase requisition/purchase order activity in Costpoint, regardless of transaction dates. The date you last computed using this option is displayed in the Last Calc Date field. Computing with this method populates the PO_RT_COMMIT_SUM and PO_RT_COMMIT_DETL tables.
Select this option to compute and print commitments based on the Fiscal Year, Period, and Subperiod entered. Any activity performed in subsequent periods is ignored. The date you last computed using this option is displayed in the Last Calc Date field. Computing with this method populates the PO_COMMIT_SUM and PO_COMMIT_DETL tables.
This field displays the date of the last computation using the method you have selected.
Use the fields in this group box to determine the fiscal year, periods, and subperiods for which commitments are computed.
Select the fiscal year for which you want to compute commitments.
Use the fields in this group box to select the periods and subperiods for which commitments are computed. The default is All. Commitments are computed for all open periods within the fiscal year selected, up to and including the To Period and Subperiod entered.
Use the drop-down list to determine the range of open periods to be computed. Valid options are:

Select the period that is the starting and/or ending point for the commitment calculation.
Select the subperiod that is the starting and/or ending point for the commitment calculation.
Select this option to include any amounts retained as part of the total commitment.
Use this group box to choose the criteria for printing commitments.
Use the options in this group box to determine the type of output to be printed.
Select this option to print a summary report showing, by project/organization/account, a listing of the selected commitment amounts, categorized by open amounts, received amounts, accepted amounts, and vouchered amounts.
Select this option to print a detailed report showing, by project/organization/account, a listing of the selected commitment amounts, along with purchase requisition/purchase order line item information.
Use this group box to determine how the report is sorted.
Select this option to sort the report by the charge codes.
Select this option to sort the report by purchase requisitions/purchase orders.
Select this check box to print only commitments not charged to a project ID. When you select this check box, the Project to Print group box is disabled. If you leave this check box blank, all commitments are printed, those without projects and those with projects selected in the Project to Print group box.
Use this group box to select the projects for which commitments are printed.
Select an option from the drop-down list to determine the range of projects to be created. Valid options are:

Enter, or click to select, the project ID that begins the range of projects for the report.
Enter, or click to select, the project ID that ends the range of projects for the report.
Use the fields in this group box to select the period and subperiod for which commitments are to be printed. These are required fields if you selected the By Open Period option in the Calculation Method group box. When required, you must select a valid period and subperiod for the Fiscal Year entered in the Compute for group box.
Select the period, based on the Fiscal Year entered in the Compute for group box, for which commitments are to be printed. This field is required only when printing commitments By Open Period; otherwise, this field is disabled.
Select the subperiod, based on the Fiscal Year entered in the Compute for group box and the Period entered in this group box, for which commitments are to be printed. This field is required only when printing commitments By Open Period; otherwise, this field is disabled.
Use this group box to determine which commitment amounts are printed. When commitments are computed, all commitment amounts are categorized and stored in the various data tables. Only those commitment categories that were selected are printed.
Select this check box to print pending purchase requisition amounts on the commitments report. If you leave this check box blank, purchase requisitions not yet approved are not included on the commitments report.
Select this check box to print approved purchase requisition amounts on the commitments report. If you leave this check box blank, purchase requisitions that have been approved but not yet turned into purchase orders are not included on the commitments report.
Select this check box to print pending purchase order amounts on the commitments report. If you leave this check box blank, purchase orders that are not yet open are not included on the commitments report.
Select this check box to print open purchase order amounts on the commitments report. If you leave this check box blank, purchase orders that are open but not yet received or vouchered are not included on the commitments report.
The open commitments calculation is as follows:
For 3-Way matching: purchase order quantity/amounts less any received quantity/amounts plus any rejected-replace quantity/amounts.
For 2-Way matching: purchase order amounts less vouchered amounts.
Select this check box to print received, but undispositioned (not accepted or rejected), purchase order amounts on the commitments report. If you leave this check box blank, purchase orders that have been received but not yet dispositioned are not included on the commitments report.
Select this check box to print accepted purchase order amounts that have not been vouchered on the commitments report. If you leave this check box blank, purchase orders that have been received and accepted but not yet vouchered are not included on the commitments report.
Select this check box to print vouchered purchase order amounts that have not been posted by voucher distribution on the commitments report. If you leave this check box blank, purchase orders that exist on the Manage Purchase Order Vouchers screen are not included on the commitments report.
Select this check box to print unreleased blanket order amounts on the commitments report. If you leave this check box blank, blanket order balances are not included on the commitments report. The blanket release orders are treated like regular purchase orders. Blanket orders appear on commitments only when you select this check box. The value that appears is the blanket balance (the amount of the blanket order that has not been released).
