MANAGE WORKFLOW CASES

Use this screen to track individual cases, determine their status, and change case values. You can initiate a case and have the first activities routed to the appropriate users' electronic workflow inboxes (and email, if available).

Use on the toolbar to locate specific cases to check their status or change their case values.

If you want to initiate a case, enter the name of an active workflow in the Workflow field. When you initiate the case, your workflow enters an in-progress state. When a workflow is in progress, activities and messages are routed to users, and users are able to start and complete activities.

Whether you have located an existing case through or initiating a case, the only fields that you are able to edit are Workflow and Value, as well as the Case Notes group box. If you are initiating a case, enter workflow case labels in the Case subtask of the Manage Workflow Models screen prior to entry into this screen.

When you have completed your entries, click on the toolbar to update or initiate a case. During the save process, activities are routed to user inboxes (and email, if available) if you are initiating a case.

You must set up the following screen screens before using this screen:

Location

Identification

Use this groups box to specify the workflow you want to use.

Workflow

Use this field to enter, or use to select, a workflow that has already been set up in the Manage Workflow Models. The Active check box in the Manage Workflow Models screen must also be selected.

If you have used to locate a workflow, the Active, Case, Start Date/Time fields and the Label column in the Workflow Case Values and Document Case Values subtasks are automatically populated. The Completion Date/Time field may also be populated if all the required activities for your workflow have been finished.

Case

This field displays the case associated with this workflow.

Case is a unique number used to identify an instance of a workflow. If you are initiating a case, this numeric field is generated when you click on the toolbar. If you use , the previously generated case number displays in this field.

The sequential number generated for this field allows multiple instances of a particular workflow.

Active

This field displays Y (Yes) or N (No) to reflect the status of the Active field in the Manage Workflow Models screen.

Domain

This field displays the value from the Domain field on the Manage Workflow Models screen. It describes the set of Costpoint functions most commonly used for the workflow activities. The Costpoint domains are:

Case Status

This field displays the status of the case for this workflow.

Starting Date/Time

This field displays the date and time this case was initiated.

If you are initiating a case, this field displays the current date and time when you click .

Completion Date/Time

This field displays the date and time this case was completed.

If you are initiating a case, this field remains blank.

Autoload Case Labels

Click this button to automatically load all case labels available for this workflow to the Workflow Case Values subtask.

Case Notes

Use the field in this group box to enter any additional notes specific to this workflow case.
