PROJECT TRANSFER VERSUS MULTI-JOB

Use the Project Transfer process in Costpoint Cost and Revenue Processing to transfer a project and its related direct costs to another existing or newly created project. Use the Create Multi-job Allocation Entries screen in the same module to transfer direct cost and burden to multiple receiving projects. The multi-job allocation serves as a service center for projects. Because these processes involve major exchanges of table data, perform a complete backup of your database before the transfer.

The Project Transfer and Multi-job Allocation processes are serious undertakings and, depending on the project size(s), can be time consuming. Please exercise care when scheduling and executing these processes.

Overall Functionality

Use the Project Transfer process to:

• Move direct cost to a single designated project

• Enable the reclassification of expenses and accounts receivable, billing, and unit usage history tables

• Transfer allocations on an account-by-account basis

A single transfer can address multiple account activity

Use the Multi-job Allocation process to:

• Move direct cost and burden to multiple receiving projects

• Enable the reclassification of expenses

• Transfer allocations to a single receiving account

Processing Considerations

Project transfer is normally a one-time process that is executed during the current period for all past transactional data occurring within a single fiscal year. You cannot run the transfer process if transactional data exists in a prior year or a future period.

Although you can execute the transfer of direct costs more than once, the reclassification of receivable, billing, and unit history is irreversible.

Multi-job Allocations is a frequently recurring process that you can execute on either a current period or year-to-date basis. Processing is independent of other periods, and can be executed more than once in a single period if the job allocation history is deleted.

Process Output

When you use the Project Transfer process:

• The process creates a journal entry that you must post.

• Receivable, billing, and unit history records are permanently altered.

• You can execute only one transfer at a time.

When you use the Multi-job Allocations process:

• The process creates a journal entry that you must post.

• An historical record of the transaction is created.

• You can execute multiple job allocations simultaneously.

Which Data is Transferred?

Use the Project Transfer process to transfer dollars and hours; you cannot transfer indirect burden. This process collects all costs for the year and the current period, and moves all costs to a single designated project.

Use the Multi-job allocations process to transfer dollars and hours; you can transfer indirect burden. This process can be run as current period or YTD, and the basis for the allocation to other projects is dollars, hours, or a designated percentage.

Practical Uses for These Applications

When you use the Project Transfer process:

• A non-billable effort leads to the successful award of a contract. You subsequently move the costs to the new effort.

• You redesign a project structure and transfer costs to a new lower-level node.

When you use the Multi-job Allocations process:

• You can use a single project as a "collector" project with costs that can be distributed to "funder" projects that subsidize the costs of the endeavor.

• You can use a single project as the management task with costs that can be distributed to the projects receiving the benefits of this endeavor.
