Use this screen to create work schedules for a company in Costpoint. A work schedule holds information regarding scheduled work days, holidays, and days off. You can create multiple work schedules for a company. A company can have one work schedule for hourly workers, another for salaried, or one for part-time employees. You can even create a work schedule for individual employees who have unusual schedules. The data in this screen is used by Costpoint only to compare actual work hours to scheduled work hours when prorating salaried employees.
You can add a work schedule for a specific year and copy work schedules from year to year (note that holidays are not copied because of the difficulty in determining the holiday date for the next year). A work schedule can cover multiple years. One data record is added for each day of the calendar year.
You can assign a work schedule to an employee on the Manage Employee Salary Information screen. You can assign a work schedule to a company on the Configure Labor Settings screen. The work schedule assigned to an employee on the Manage Employee Salary Information screen always takes precedence over the work schedule assigned to the employee's company on the Configure Labor Settings screen. You cannot delete a work schedule after it is assigned to an employee or a company.
If you use Costpoint's prorate labor feature, Costpoint compares the actual work days on a timesheet to the work schedule to determine whether a timesheet is eligible to be prorated. You must create work schedules if you are using a Labor proration formula of Days per Cycle, as selected on the Configure Labor Settings screen.
This application mirrors the work schedules in Deltek Time & Expense. You can import work schedules from Time & Expense using the Import Work Schedules from Deltek Time and Expense application. If there is a direct link between the Costpoint and the Time & Expense databases, you can only view data in this screen. You must make any changes to the work schedule in Time & Expense.
Add work schedules before assigning a company work schedule on the Configure Labor Settings screen or assigning work schedules to employees on the Manage Employee Salary Information screen.
Enter, or click to select, a work schedule code.
Enter a work schedule description.
Use this group box to retrieve work schedule data. After you make your selections, click the Retrieve button to display the data in the table window.
Enter the year of the work schedule or leave blank to view all years.
From the drop-down list, select the month of the work schedule or select None to view all months.
From the drop-down list, select the day of the week that you want displayed in the table window or select None to view all days.
Enter, or click to select, the date to display in the table window, or leave blank to view all dates.
Click this button to display the current work schedule data for the criteria you entered in this group box. The data displays in the table window.
Use this group box to add a new calendar year to the work schedule.
Enter the new calendar year that you want to add to the work schedule, then click the Add Year button. The year to be added must be the one immediately following the currently selected work schedule.
To create a new work schedule, click this button to create a new work schedule year with no attributes for any day. For the year entered in the Year field, the application creates one record for each day in the year (Specific Date type record) and a record for each day of the week (Day of Week type record).
If you create a new year for an existing work schedule, the attributes for each day of the week (Day of Week type record) are applied to the corresponding records for each day of the year (Specific Date type record). Holidays are not copied to the new year but must be added separately.
Data for the work schedule year displays in the table window. Use the Edit Work Schedule Data group box to select the work schedule attributes.
Use this group box to edit work schedule data. Click here for examples of editing. Note that you can also edit the table window.
From the drop-down list, select the type of calendar data that applies to this day. Valid options are:
Day of Week — Select this option to assign attributes to every corresponding day of the week in the year. If you select this option, every day, such as each Monday, is a work day with a certain number of scheduled hours. You can also make a day such as Sunday a non-work day. If you select this option, you must make an entry in the Day of Week field.
Specific Date — Select this option to assign unique attributes to a day. For example, you could make 12/25/10 a holiday, even if it falls on a normally scheduled work day. This option is usually used for holidays. If you select this option, you must make an entry in the Specific Date field.
From the drop-down list, select the day of week to edit. The attributes you select are applied to all the corresponding days for the year. If you selected Day of Week as your Type, this field is required. If you selected Specific Date in the Type drop-down list, leave this field blank.
Enter, or click to select, the date to which you wish to apply unique attributes. Enter the date in the DD/MM/YY format. If you selected Specific Date as your Type, this field is required. If you selected Day of Week in the Type drop-down list, leave this field blank.
Enter the standard scheduled hours for this day. You cannot enter more than 24 hours. You must enter standard hours for days designated as holidays.
Select this check box if employees are not scheduled to work on this day (for example, Saturday or Sunday).
Select this check box if this day is a holiday.
Select this check box to apply any hours worked on this day to an employee’s total hours for the week. For example, if the employee works on a weekend (which you designated a non-work, flexible day), the hours worked still count towards the total hours worked for that week. If the employee works on a weekend where the day is designated as a non-work day but not flexible, those hours do not count towards the total hours worked for the week
Click this button to transfer all the selected properties to the work schedule calendar.
Click this button to clear any properties from this specific date or day. When a specific date is cleared, the attributes and standard hours revert back to those for the corresponding Day of Week record.
This table window displays the work schedule data.
This field displays the calendar data type for the work schedule row.
This field displays the day of the week for the work schedule row.
This field displays the date of the work schedule row.
This field displays the scheduled standard hours for the day.
This check box indicates whether the day is a scheduled non-work day (for example, Saturday or Sunday).
This check box indicates whether the day is a scheduled holiday.
This check box indicates whether the hours worked on this day can be applied to an employee's total hours for the week.
