MANAGE ORGANIZATION ELEMENTS

Use this screen to set up the elements of each organization. You must first set up the first level, or top level, on the Manage Organization Structures screen. You cannot set up a lower level element before its "parent" element. For example, you must set up 001.0204 before you can set up 001.0204.001.

You can apply organizational security to this screen. Use organizational security to grant or deny rights for individual users to view or update information for specific organizations. You can also indicate if you want to export this lower-level organization to Shop Floor Time and/or Manufacturing Execution when the Export Project Manufacturing Data process is run. You can specify these options through the Project Manufacturing Information group box.

Identification

Organization

Enter the code for the organization you want to set up. As you enter the code, Costpoint automatically displays the level delimiters (for example, periods or dashes) at the appropriate locations.

Name

Enter a name for the organization. This name appears on screens and reports to help identify the organization.

Abbreviation

If you will charge this organization, you have the option to specify an abbreviated code to simplify data entry. If you do, the abbreviation cannot be the same as any other abbreviation in your Costpoint database. When you enter the abbreviation on any of various transaction screens, Costpoint retrieves and displays the longer organization code. (This feature is not available on reporting and control screens, but it is available in most transaction screens.)

Time Collection Organization

If you select this check box, this organization is exported to Deltek Time & Expense when you run the Export Data to Deltek Time and Expense process. The organization is included in the UDT09_YYYYMMDDHHMMSS.CSV file.

Status

Active

Select this check box if you want the organization to be active and available for charges. If you do not want this organization to be available for charges, clear the Active check box, making the organization inactive. Inactive organizations cannot receive charges. If you inactivate the top level of an organization, that does not inactivate lower levels within that organization. However, it does inactivate any account/organization combinations that contain the inactive organization.

If you purchased Inventory and you clear this check box, all inventory abbreviation records with an active code other than O that match this organization are also assigned the inactive status. Selecting the Active check box, however, does not change the status of an inactive inventory record. You must activate inventory records in Inventory.

Taxable Entity

ID, Name

Enter, or click to select, the taxable entity to which this organization element belongs. You can only assign organization elements to taxable entities that have been set up on the Configure Company Information screen.

Costpoint Form 1099 processing uses organizational elements to determine which companies to print Form 1099 for and how much 1099 income those companies paid to vendors. If you assign an organization to the wrong taxable entity, the Create 1099 Information screen may skip over substantial amounts of vendor 1099 income.

Level

Number and Level Desc

After you enter the organization ID, Costpoint displays the organization level number and level description that were specified on the Manage Organization Structures screen.

Life Cycle

Fiscal Year: Starting/Ending

Period: Starting/Ending

You can use the starting and ending Fiscal Year and Period only when an organization is valid during a particular period of time. For example, if you were to change your organizational structure at the end of Fiscal Year 2011, you would enter the final period of 2011 as the ending period/fiscal year for the old structure elements and the first period of 2012 as the starting period/fiscal year for the new structure elements.

When you set up an organization that you want to use immediately and continuously for the foreseeable future, leave these fields blank.

Project Manufacturing Information

When the Export Project Manufacturing Data process is run, the system will check the options selected in this group box to determine if this lower-level organization will be exported to Shop Floor Time and/or Manufacturing Execution.

Export to Shop Floor Time

Select this check box if you want to export this organization to Shop Floor Time.

This check box is enabled if you are licensed for Shop Floor Time.

Export to Manufacturing Execution

Select this check box if you want to export this organization to Manufacturing Execution.

This check box is enabled if you are licensed for Manufacturing Execution.

Cobra Mapping

Cobra Mapping Value

Use this field to enter a Cobra mapping value. The Cobra Interface process uses Cobra mapping values to link Costpoint cost elements to Cobra cost elements. 

If you select the Org Cobra UDEF option in the Costpoint Mapping column of the Manage Cobra Charge Templates screen, you can enter a user-defined value in this field and use it to link to a value in Cobra. 

Commonly, this field is used if there is a value in Cobra that is not easily linked to anything in Costpoint.  For more information on the Cobra interface, see Configure Cobra Interface Settings.

Link to Accounts

Click this link to open the Link to Accounts subtask. In that subtask, you can specify valid accounts to which the organization can charge.
