UPDATE FA FY/PD INFORMATION FROM GL FY/PD INFORMATION

Use this optional screen to automatically populate the Manage Fixed Assets Fiscal Years and Manage Fixed Assets Accounting Periods screens with fiscal year and accounting period data already existing in Costpoint General Ledger.

You can bypass this optional process and manually enter all data directly on both the Manage Fixed Assets Fiscal Years and Manage Fixed Assets Accounting Periods screens if you choose.

Although the system permits Fiscal Year (FY)/ Period (Pd) data in Costpoint Fixed Assets that is inconsistent with GL data, use extreme caution when entering different data or editing existing data. To avoid Fixed Assets calculation and posting problems, FY/Pd data in Costpoint Fixed Assets should be identical to data set up for comparable fiscal years/periods in Costpoint General Ledger.

Location

You must set up fiscal year and accounting period data (either as a result of running the process from this screen or manually) before you compute the current period or projected depreciation expense, run certain Fixed Assets reports, run certain system utilities, or post depreciation, disposals or transfers to the General Ledger.

You must establish data for at least the current fiscal year and the next two future fiscal years to enable current period depreciation calculations. If you do not set up this information before you compute depreciation, incorrect data may display in your Asset Master records after the system has computed depreciation.

The process run from this screen creates Fixed Assets fiscal year/period data that is effective across all companies and is not company-specific. If you have set up multiple companies in Costpoint, the data generated by this process will apply to all companies, and all companies can enter, view, and use the data on this screen.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options are also included in the saved parameter ID if there are any. You can change any of the associated selection defaults as necessary.

Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made in the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display in the screen, you can override the defaults.

Description

Enter, or click to select, a parameter description of up to 30 alphanumeric characters.

Use the fields in this group box to select the fiscal year parameters for which you want to perform the update.

Option

Select the desired fiscal year option from the drop-down list. The following options are available:

Start

Enter, or click to select, the starting fiscal year, as applicable.

End

Enter, or click to select, the ending fiscal year, as applicable.

Options

Overwrite existing FA FY/Pd data from G/L (may result in errors in the Asset Master table)

Select this check box if you want the update process run from this screen to overwrite existing fiscal year/accounting period data for each selected fiscal year.

You may have already populated the Manage Fixed Assets Fiscal Years and Manage Fixed Assets Accounting Periods screens with data as a result of previously running this process or by manual data entry.

If you have selected this check box and rows exist in the Asset Audit Log table for one or more fiscal years that have been selected for the import, those rows must first be purged from the Asset Audit Log table before you can run the process.

Run this purge from the Purge Asset/Template Change History screen.

Update FA FY/Pd Info from GL FY/Pd Info

Click drop-down and select Update FA FY/Pd Info from GL FY/Pd Info to initiate the update process.

For each fiscal year selected on this screen, the system copies the fiscal year and description to the Manage Fixed Assets Fiscal Years screen and the accounting periods and period ending dates to the Manage Fixed Assets Accounting Periods screen from Costpoint General Ledger and overwrites any existing data, as applicable.
